My Assistant

Home → My Assistant reads every part of NovuHub you have access to — finance, people and training, projects and tasks, sales, customer service, risks and sustainability — and tells you what matters now, why, who should act, and how to do it. Where a message helps, the e-mail is already drafted; where a task helps, it is ready to create. Nothing happens until you approve it.

What you see

A finding

Each card says what (with the figures), why it matters, who should act — and why that person: “Sofia Lang — names Hafen Logistik AG among her clients in her job description” — and how to do it, step by step, with links to the right place in NovuHub. Many cards carry an e-mail draft you can edit, copy, open in your mail program, or (to a colleague) send through NovuHub, and actions — create a follow-up task, remind people, move a task to balance workload, start a project. Each action opens an approval dialog; after you approve, it is recorded in the activity log as approved by you, the people involved are notified, and — while nobody has worked on it yet — you can undo it. The same suggestion is never carried out twice.

Snooze hides a card for 7 days, Done and Dismiss hide it until the situation changes, 👍 / 👎 teach the Assistant which kinds of advice help you.

Cash, next 13 weeks — and "what if"

In Finance (for people with Finance access) My Assistant keeps a week-by-week cash forecast from this Monday: open invoices on the day each client usually pays (not just the due date), overdue ones about a week after a reminder, the next invoices to clients billed every month, open bills on their due dates, the next bills of suppliers who bill every month, and the recurring monthly costs (Finance → Burn rate) at each month end, when salaries are paid. Invoices more than 90 days overdue are not counted on. Two lines: expected, and issued invoices only — the prudent one, without anything that still has to be billed. When most revenue is invoiced outside NovuHub, the missing part is estimated from the P&L (in and out) and the page says so. Every assumption is listed under What this rests on, with a confidence level and its reasons.

What if… recalculates the same forecast with changes — a client pays later or not at all, a client is lost, suppliers are paid later (never tax, payroll or rent unless you name them), a hire, a one-off, revenue still to be billed up or down — and shows the effect on the lowest point and on the balance in 13 weeks. Nothing in your data changes. When the balance would go below zero, a Cash runs short card says in which week, and what to collect or move first.

How clients pay

From every paid invoice with a payment date — a recorded payment, the date a receivable was marked paid (Finance → Receivables now keeps it: Paid on), or the bank line it was matched to — the Assistant learns how many days after the due date each client really pays, how reliably, and whether it is getting worse. A client who starts paying noticeably later gets its own card (the early warning), and an overdue reminder says whether the delay is normal for that client.

Judged against the season

A month is compared with what that line would normally do: with a year of P&L history, against last year's pattern (a quiet August, a trade fair every autumn), otherwise against the previous month and the line's own usual swings. Big moves the season or the usual swings explain are not raised; they are listed under Checked and normal, with the reason, so you can see they were looked at.

Ask — with look-ups

When a question needs more than the findings, the AI may look things up — a client's invoices and payment behaviour, a P&L line month by month, the cash forecast week by week, a what-if, someone's workload — only in what you can open, read-only. What it looked up is listed under the answer, and figures it states are checked against the calculations and the look-ups.

Why dismiss? — teaching the Assistant

Dismiss… asks why, and each answer says what it will do before you choose:

A lesson can only be taught from a card that is in your own analysis. Everything taught is listed in Settings → My Assistant with who taught it and when; the author or a manager can undo it.

Follow-ups — and "I sent it"

When you approve an action — a task, a reminder, a message — or press I sent it under an e-mail draft you sent from your own mail program, the Assistant checks back: a week after a payment reminder, three days after asking about a missing invoice, the day after a task's due date. If the situation has not changed by then, Follow-ups due shows it at the top of For you (and in your brief and on the Home card) with the next step — the next reminder stage, ask again, escalate. You can snooze it, mark it resolved, or stop following it. If the situation has changed, the follow-up closes itself.

Results

The Results tab shows what happened to the findings: what was resolved, how fast the team acted and resolved, and the money involved — measured in the data, not assumed: what clients actually paid of the invoices that were overdue, the invoice actually issued for a missing month (up to 15 days late still counts), the duplicate bill actually removed before it was paid twice. A missing invoice never issued shows under Not billed. Findings that come back are re-opened. You see results within your access (money only with Finance access; people items only for managers and HR). The ledger is kept by the background worker.

Routine — the playbook of your role

The Routine tab is the routine of your job, the way an experienced colleague would hand it over: what to do every day, every week and every month — for My work, Finance, Sales & clients, People & HR, Team lead, Management and Service desk. Your roles are suggested from your job description, your sections and your level (My roles… shows why, and lets you change them).

Each item shows its status from the data: 3 to do with the first one to open (overdue invoices to chase, bank lines to match, a discount that runs out), or Nothing to do — it ticks itself. Regular looks that only you can confirm (the cash forecast, the pipeline, the weekly review) you tick for the period; the tick lasts for today, this week or this month. Managers can switch built-in items off and add the company's own in Settings → My Assistant → Role playbooks.

German rules — tax deadlines, late payment, Skonto, month-end close

For a German company (switched on automatically when the workspace is in German, the address is in Germany or the invoices are in euro with 19 % / 7 % VAT — or by hand in Settings), My Assistant adds:

This is general information to help keep deadlines, not tax or legal advice. The base rate is built in (1.52 % since 1 July 2026) — enter a newer one in Settings when the Bundesbank changes it.

Weekly management review (managers)

📄 Weekly review (PDF) in the header of My Assistant creates the week on two pages for the Monday meeting: the key figures, cash for the next 13 weeks (expected and prudent), what needs attention by importance with owner and status, what was resolved this week and in 90 days, what has waited over a week without anyone acting, your follow-ups, the tax deadlines, workload and the plan — all from the same checked figures as the page, with your company name and logo (Settings → Report branding). The Monday brief of managers links it.

Briefs, alerts and the Home card

My Assistant also works while you are not looking. The background worker prepares your analysis ahead of time — so the page opens at once — and tells you what matters:

Settings → My Assistant → Your briefs & alerts: daily / weekly / off, the hour, alerts on or off, e-mail on or off, when the next brief goes out, and what was sent recently. Your choice wins over the company default; Use company defaults goes back to it. Managers set the company defaults there too, and see whether the background worker is running.

Your job description

Settings → Job description: your title, department, a short summary, your main duties, and the clients, sales channels and P&L lines/accounts you own. My Assistant uses it to give you advice that fits your role and to route colleagues' questions about your clients and costs to you. You can edit your own; managers and HR can fill in or correct anyone's.

For managers: Settings → My Assistant

Describe the company (what you do, for whom, business model, markets), set goals for the short, medium and long term, rank the areas that matter most, name constraints and your risk appetite, give the Assistant instructions, and tune the thresholds (when a P&L change is unusual, when someone is over capacity, when an invoice counts as missing …). NovuHub shows what it infers from the data — industry, size, revenue run-rate, margins, growth — for you to confirm or correct.

Germany — whether the German rules apply (Auto / On / Off), the federal state for holidays, VAT returns (auto, monthly, quarterly, annual), Dauerfristverlängerung, Soll or Ist, small business (§ 19 UStG), payroll deadlines, and the base rate. Role playbooks — switch built-in routine items off and add your own (role, how often, what, why).

People insights (workload, training and absence findings about other people) can be switched off. Where a works council exists, agree its use with them first. Advice about people is framed as workload and process, never as a judgement of a person.

Privacy — what it uses and never uses

Every analysis runs on the server on your view of the data: only the sections you can open, confidential HR fields removed (pay, tax and insurance numbers …), other people's leave only as “away” — never the type or reason. Chat messages and mailboxes are never read. What does it know about me? on the page lists exactly what is used about you and who can see advice involving you.

AI

The calculations and advice work without AI. With an Anthropic API key (Settings → Integrations), the Assistant also writes the briefing, prioritises, plans by horizon, coaches you on the findings, answers questions and rewrites e-mails. The AI receives the calculated findings for your view — not the raw data — and cannot act. Every figure it writes is checked against the calculations; a sentence with a figure that does not match is left out, and the page says so. Managers set a daily limit per person; unchanged data re-uses the last write-up instead of asking again.

Optionally, managers can switch on public market context: a separate web search that contains only your industry and region — never your company's, clients' or people's names.
